Certificates and compliance

The paperwork that has to be right.

  • Gas certificates

    AvailableStandard plan and above

    Landlord and homeowner gas safety records, warning notices and service records. Fill them in on site, sign on the screen, and the customer gets a PDF.

    Worth knowing: Eight certificate types today. Your Gas Safe number has to be on your account first.

  • Signed and locked

    AvailableStandard plan and above

    Once you sign a certificate it cannot be edited. If something is wrong you void it with a reason and issue a new one, so the history is honest.

  • Handover packs

    AvailableStandard plan and above

    Bundles the certificates and paperwork for a job into one pack and emails it to the customer.

  • Submitting to Gas Safe or MCS

    In build

    You do this yourself on their portal. There is no public way for software to do it for you.

    Worth knowing: We say this plainly rather than implying otherwise. No reference number is ever invented.

  • Electrical (EICR), unvented (G3), Legionella, Part L photo dossiers

    A page for your business with your logo and colours, the towns you cover, your accreditations and photos of recent work.

    Worth knowing: You claim the web address yourself. We do not set one up automatically at signup yet.

  • Enquiry form and leads list

    Available

    Enquiries from your page land in a list. Turn one into a customer without retyping.

  • Quotes with options

    Available

    Give the customer a choice, for example a like-for-like swap or a full upgrade. They accept on their own page and can pay a deposit by card.

  • Your own domain name

    Putting your page on yourfirm.co.uk instead of a PipeworkHQ address.

  • Automatic review requests

    Asking every customer for a Google review after the job.

    Worth knowing: Add your Google review link first. New customer forms record the required refusal choice; older customer records stay excluded unless you can establish a lawful basis.

  • Google, Bing and Apple listing guide

    Plain-English steps for claiming your local business listings without exposing a home address.

    Worth knowing: Guided, not connected. You claim and verify each listing with the provider.

  • Service reminders

    Reminds a customer when an annual service is due.

    Worth knowing: Sends by text. Needs a mobile number on the customer record.

  • Working with no signal

    In build

    Carrying on in a plant room with no reception and syncing later.

    Worth knowing: You can install PipeworkHQ to your home screen today, but a full offline mode is not finished. There are no native phone apps yet.

Money

Getting paid, and paying the least in fees.

  • Invoices

    Available

    Numbered so the sequence cannot be broken, with a PDF and a payment link. Credit notes and cancellations handled properly.

  • Card payments

    Needs setup

    The customer pays by card from the invoice or the quote. The money goes to your own account. We take no cut of it.

    Worth knowing: You complete a short identity check with Stripe first, which can take a day or two. That is their requirement, not ours.

  • Cash, cheque and transfer

    Available

    Record payments you took any other way so the books still balance.

  • Deposits

    Available

    Ask for a deposit when the customer accepts the quote.

  • Direct Debit and pay by bank

    A lower-fee alternative to cards for larger jobs.

    Worth knowing: Partly built, not switched on. Provider and regulatory checks still have to pass.

  • Tap to pay on a phone

    Taking a card payment on the doorstep with your phone.

Books and accounts

Where the paperwork ends up.

  • Connect Xero, QuickBooks or FreeAgent

    In build

    Link the accounting software you already use.

    Worth knowing: The connection code exists, but the live round-trip is still being proved in each provider sandbox.

  • Sending invoices across automatically

    In build

    Your invoices appearing in your accounts without you doing anything.

    Worth knowing: The connection works; the switch that turns on automatic sending is the next thing we are finishing.

  • Xero export file

    Available

    Download your invoices in a format Xero accepts and import them.

    Worth knowing: Today this is the most reliable route into your accounts.

  • Receipts

    Available

    Photograph a supplier receipt and it reads the supplier, date and amount for you to check and approve.

    Worth knowing: Photos only for now, not emailed PDFs. Approved receipts stay in PipeworkHQ; sending them to your accounting software is in build.

  • Your bank

    Available

    Connect your bank inside your accounting software, not here. Once accounting sync is released, PipeworkHQ will send the invoice and your accounting software can match it to the money.

    Worth knowing: This is a deliberate boundary. We will not ask for access to your bank account. Check your bank and accounting plan because some feeds or services may carry a separate charge.

  • VAT

    Available

    A VAT summary you can read off for your return.

    Worth knowing: It is a report to help you file. PipeworkHQ does not file anything with HMRC.

  • Ask Mate

    Available

    Ask a question in plain English about your own jobs, invoices, leads and customers, or how to use PipeworkHQ.

    Worth knowing: It is read-only. Record claims must cite an authorised, current record and the link is created by PipeworkHQ, not by the model. Offline answers use cached non-personal product guidance only.

  • Gas tightness checker

    Available

    Works out whether a tightness test passes, for both the current and the new edition of the standard.

  • CO alarm checker

    Available

    What alarms are required, for England, Scotland, Wales and Northern Ireland separately.

  • Engineering calculators

    Available

    Gas rate, pipe sizing, combustion air, ventilation and more.

    Worth knowing: Three are free. The rest are on Solo and above.

  • Heat loss surveys

    AvailableSolo plan and above

    Indicative room-by-room heat-loss calculations based on BS EN 12831 principles, with radiator sizing.

    Worth knowing: Use professional judgement and your approved MCS design process. PipeworkHQ is not certified design software.

  • Heat pumps and the Boiler Upgrade Scheme

    Design help and a check on whether a property looks eligible for the grant.

    Worth knowing: The output is indicative to help you quote. It is not a certified MCS design.

  • Apprentice off-the-job hours

    Recording the hours an apprentice must log, with a mentor sign-off.

Your data

It is yours, and you can take it with you.

  • Complete account export

    Available

    Your Firestore records and tenant-owned uploaded files in one owner-only ZIP archive.

    Worth knowing: Prepared in the background. Security material is excluded; the archive lasts 24 hours, each download link lasts 10 minutes, and the owner can revoke it.

  • Bringing customers in

    Available

    Import your existing customer list from a spreadsheet.

    Worth knowing: Comma-separated files. Pulling customers straight out of QuickBooks or Xero is in build.

  • No exit fee
