Moving software is the reason most firms stay on tools they’ve outgrown. So we take the job off you: we move your customers, property addresses and boiler records for you — included. And because confidence cuts both ways, the account owner can prepare a secure ZIP export from settings.

Send us your old system’s export (a simple spreadsheet is fine). The founding team maps and loads your customers, properties and boiler details, de-duplicated, into your account. You check the result before you rely on it.
Data out: owner-controlled, no exit fees
Prepare a ZIP of your business records and uploaded files from settings. Security material is excluded; the archive and short-lived download link can be revoked. A Xero-format invoice CSV is available separately.
How switching works
Step 1: Tell us what you're leaving
Email office@pipeworkhq.co.uk or mention it at sign-up. Tell us which system you use today (Tradify, Gas Engineer Software, Commusoft, a spreadsheet, a paper diary — all fine) and roughly how many customers you have.
Step 2: Export from your old system
We walk you through your current system's own export screens — you stay in control of your data at every step. A simple spreadsheet (CSV) of customers and addresses is all we need.
Step 3: We load it for you — included
We map your spreadsheet and load your customers, property addresses and boiler records (make, model, serial number) into your account through our import pipeline, de-duplicating as we go. This is done for you by the founding team — there is nothing technical for you to do.
Step 4: Check it, then run both side by side
You review what landed. Keep your old system running alongside for as long as you like — there is no contract and the Free plan costs nothing while you compare.
Step 5: Go live — and stay because it works, not because you're stuck
When you're ready, your quotes, invoices, certificates and storefront run from one login. The account owner can prepare a fresh ZIP export from settings whenever it is needed.
What we don’t migrate yet — said plainly
We don’t yet import historic job records or certificates issued in other systems. Keep your old system’s export for reference and statutory record-keeping — we’d rather tell you that here than have you find out after you’ve signed up. What we move (customers, addresses, boiler details) is what you need to start quoting, booking and certifying from day one.
Switching questions, answered straight
- What exactly do you migrate for me?
- Customers (names, emails, phone numbers), property addresses, and boiler/appliance records (manufacturer, model, serial number) — de-duplicated against anything already in your account. That covers the day-one essentials: who your customers are, where they live and what's on the wall.
- Can you import my full job history and old certificates?
- Not yet — we are straight about this. Old job histories and previously issued certificates stay in your old system's export, which you should keep for your records (Gas Safe records have statutory retention periods). Most switchers keep a read-only export of the old system for reference. We'll tell you exactly what carries over before you commit to anything.
- How much does migration cost?
- Nothing — it's included. While we're in our founding period, the team does your data move as part of getting you set up, on any plan.
- How do I get my data OUT if I leave?
- The account owner can prepare a ZIP export from dashboard settings. It contains the business's Firestore records and tenant-owned uploaded files; passwords, provider tokens and internal security records are excluded. The archive is retained for 24 hours, each authenticated download link lasts 10 minutes, and the owner can revoke it. There is also a Xero-format invoice CSV for your accountant.
- Will I lose my invoice numbering or VAT records?
- PipeworkHQ maintains a sequential invoice series and records cancellations and credit notes rather than silently rewriting history. Your old invoices remain in your old system's export, so keep that export with your VAT records and ask your accountant what retention applies to your business.
- How long does switching take?
- For a typical firm the data move itself is done within a few working days of receiving your export. You can already be quoting and invoicing on day one while the historic customer list lands.
